This Privacy Statement ("Statement") describes how Pietercil collects, uses, processes, stores and discloses your data ("Personal Data").
Controller for Data Processing
Your personal data is treated with the utmost care. Pietercil Group Nv, located at Vitseroelstraat 74, 1740 Ternat, and registered in the Crossroads Bank for Enterprises under number 0738.399.038, is the controller for the processing of your Personal Data in the context of your application. Purpose and legal basis of Data Processing
At Pietercil, we collect and process Personal Data from applicants for the management of applications, including evaluation, follow-up, and potential contact. We also process your Personal Data for other legitimate internal business purposes, such as generating statistics, analyzing the success of marketing campaigns, monitoring the number of visitors to our website, and when necessary for compliance with our contractual, legal, and regulatory obligations.
The processing of personal data is based on Article 6.1. of the General Data Protection Regulation. This includes consent, necessity for the execution of the application process, and the legitimate interest in selecting suitable candidates. You always have the right to withdraw the given consent.
Applying for a Position
When you apply at Pietercil, we may ask for certain Personal Data, such as your name and contact information (email, home address, and phone number). Additionally, we may inquire about your job search criteria, job preferences, work experience, salary, and other background information provided by you.
We may collect Personal Data through your CV, during personal interviews, video and/or online meetings, references, professional and educational organizations, (online) assessments, and other sources. We process your personal data for the purpose of managing your application, managing the internal recruitment process, and assessing your suitability. We securely store your personal data in our confidential HR database.
Your Personal Data can only be accessed by members of the recruitment team, consisting of HR members. Other employees have access to your Personal Data only if they are connected to the recruitment process, such as interviewing, assessing your suitability for the role you applied for, or directly contacting you. We do not share our HR database with group companies, and we take necessary measures to ensure that your personal data is adequately protected, secured, and kept confidential.
If your application is not successful, we retain your Personal Data in our HR database for a period of 365 days to demonstrate that we conducted the recruitment process in a fair and transparent manner and to keep you informed about future and similar vacancies that may interest you.
Retention Period
Personal data is retained for 365 days from the date of receiving the application. At the end of this retention period, you will receive an automatic notification stating that the one-year period has expired. If you wish, you can agree to further retention of your Personal Data so that we can keep you informed about future vacancies. In the absence of such explicit consent for further data management, your Personal Data will be automatically deleted seven days after this notification.
Special Categories of Personal Data
Information about your health and/or criminal record is only processed if relevant to your candidacy (e.g., to assess whether these form grounds to not further process your registration or application), and in compliance with legally imposed limitations. We will inform you and seek your consent before doing so. If you choose to provide us with certain categories of Personal Data (e.g., in your CV) that are not necessary, we will disregard that data. Special categories of Personal Data will be processed in accordance with the limitations imposed by the law and will not be retained longer than necessary before being deleted.
Rights of Applicants
You have the right at all times to access, correct, delete, restrict the processing, and object based on Article 6.1 (e) or (f), including any profiling of your personal data. Additionally, you have the right to obtain a copy of your personal data and transfer it to another entity.
